Quick summary
  • An AI Agent is AI software that can plan and execute a sequence of steps on its own to achieve a goal, using the data and tools the business has authorized — not just answer questions.
  • A Chatbot answers within a defined content scope; an AI Assistant supports a single user; an AI Copilot assists inside one application; an orchestration platform such as SYNCAZ coordinates multiple AI Agents across multiple systems.
  • Businesses control AI Agents with three layers: access permissions, human approval of critical actions, and action logs.
  • Structured data (for example in Odoo ERP) is the foundation that lets AI Agents understand the business context correctly.

What is an AI Agent?

An AI Agent is a program that uses an AI model to understand a goal, break it down into steps, call the tools and data it needs, and then execute until the job is done. Unlike a chat box that only answers, an AI Agent can read emails, look up data in the ERP, draft documents and create records in the system — within the permissions it has been granted.

For example, when a new lead comes in from the website, an AI Agent can qualify the lead, draft a sales email and create an opportunity in Odoo CRM, then wait for the team lead's approval before sending.

Chatbot vs. AI Assistant vs. AI Copilot vs. AI Agent

TypeScopeActs on its own?
ChatbotAnswers questions within a defined content scope (e.g. FAQs, product documentation)Usually not
AI AssistantHelps a single user with personal tasks: writing, summarizing, looking things upLimited, on a per-request basis
AI CopilotAssists inside a specific application or processWithin that application
AI Agent orchestration platform (SYNCAZ)Connects multiple systems, coordinates multiple AI Agents and runs cross-department workflowsYes — within granted permissions and with approval

Multi-agent: when multiple AI Agents work together

A real business process usually runs through several systems and departments. Instead of one AI doing everything, the multi-agent model splits the work among specialized Agents — one reads invoices, one matches purchase orders, one reports — while an orchestration layer coordinates them in the right order and with the right permissions.

NoteBusinesses do not need to replace their current ERP, CRM or HRM to adopt AI Agents. The orchestration layer connects to existing systems — SYNCAZ connects with more than 300 platforms.

Control: AI takes action, humans stay in charge

  • Permissions: each Agent only reads and writes the data it has been granted.
  • Approval: critical actions (emailing customers, posting accounting entries, placing purchase orders) wait for human approval.
  • Logs: every action is recorded for review when needed.
  • Deployment options: Cloud, Private Cloud, On-premise or Hybrid, depending on data security requirements.

SYNCAZ and ENTROSOFT's AI Agent suite

SYNCAZ is an enterprise AI orchestration platform developed by ENTROSOFT. SYNCAZ hosts specialized AI Agents: TopMind AI (assistant for the BOD / C-Level), HireEasy (smart recruiting), CallBoost (telesales support) and TalkTrust (customer care chatbot). Combined with Odoo ERP, the Agents work on standardized sales, inventory, accounting and HR data.

Frequently asked questions

Will AI Agents replace employees?

AI Agents take over repetitive work such as data entry, reconciliation and report compilation; people still approve and make decisions at the critical steps.

Can small businesses use AI Agents?

Yes. Start with one specific process in one department, measure the results, then expand step by step.

What should we prepare before adopting AI Agents?

Clear data and processes. Businesses that already run an ERP such as Odoo have an advantage, because their data is already centralized and structured.
